Privacy policy

We are a registered general partnership operating as Ground Crew Editorial. We offer editorial services for manuscripts, consultations, and resources to authors. We work with writers all over the world.

This policy describes how we protect and make use of the information you give us.

If you are asked to provide information, it will only be used in ways stated in this policy.

This privacy policy was last updated on February 21, 2024

  • We gather and use certain information about you in order to:

—respond to your requests for information (e.g., our availability or a quote for editorial services)

—allow us to contact you while an editing project is ongoing

—enable certain functions on this website

—better understand how visitors use this website

  • We collect the following minimal information:

    —name

    —email address

—information pertinent to your inquiry (e.g., word count, nature of project, services you are interested in, etc.)

—for clients, we also collect a contact postal address upon acceptance of the contract

  • The data we collect is used as follows:

—For our internal accounting processes (for invoicing you) and so that we are compliant with our tax authority should it request an audit.

—To contact you in response to your inquiry, quote, or booking.

—To record your agreement to the terms and conditions of our editorial services.

We will never use this data for marketing or promotion purposes without getting your permission in writing first (for example, to publish your testimonial for us on our website or social media).

  • We collect and store minimal information via the following forms:

    Contact form (via Dubsado)

    Proposal and Contracts (via Dubsado)

    Testimonial form (via Dubsado)

    Newsletter signup (via Squarespace)

    Email (via Squarespace)

We will never lease, distribute, or sell your information to third parties unless you give us written permission to do so, or we are required to do so by law.

You can ask us to remove your data (any data that is not required for our tax reporting/accounting requirements) from Squarespace or Dubsado at any time.

  • The minimal information I collect is stored on the following data servers:

Squarespace. This is our website host. It is password-protected and has SSL-certification (https) to provide an additional layer of security. You can access Squarespace's privacy policy here.

Dubsado. This is our cloud-based file management system accessed via our password-protected computers. Contracts, proposals, file exchanges, and payments are processed through Dubsado. You can read Dubsado’s privacy policy here.

  • Because many of our clients work with us more than once, we do not delete data unless specifically requested to do so.

Please ask if you want us to delete or amend your records. As long as we are complying with legal requirements, we will process your request immediately.

  • No one, unless you request that we do so in writing, or our business is audited.

  • We do not use artificial intelligence (AI) programs on our clients’ work, nor will we ever upload client work to any AI programs (such as ChatGPT). We write our own editorial letters and feedback based on our years of experience as editors and writers. What you receive from us will always be handcrafted, never generated by machine.

  • If you have any questions or requests for modification or removal of your data, you are welcome to email us at info@groundcreweditorial.com
